GETTING THINGS DONE
Getting Things Done is a book that formulates a method called GTD, which helps people to approach their tasks in a more relaxed and free manner. Most of the time, our mind is cluttered with so many thoughts which are unnecessary, and this may, in turn, affect our goals. GTD system suggests a solution to solve this problem by helping to check your actions in a systematic manner. The five strategic goals of GTD helps you to organize your actions to get the desired outcome.
It is important to choose the right workplace, tools and filing system as it is the first step in the GTD system. The workplace that you choose should be comfortable enough to do your work. It’s always better to have a similar workspace to do your work effectively. This space should have some basic tools like paper, pen, files etc. that will assist your work. It can also have digital gadgets like phone, laptops etc. These tools will help you to set up a proper filing system like documents, notes, articles and other important items.
Now let us look the five stages in GTD
- Capture your thoughts
It is necessary to collect your thoughts, tasks and ideas to an external place, where you can find them whenever required. For that, you may require the help of collection tools like notebooks or digital gadgets. It is always recommended to limit your collection tools to make it simple. Maintaining these collection tools will make your mind focused on important things.
- Clarify each item in collection tools
To have a systematic collection tool, it is necessary to erase your tasks and ideas that are no longer required or not required at that moment. This will enable us to focus on important tasks.
- Organize
This stage requires you to actually put each thought and ideas in the right place. See if a particular task is most important, important or is not important. The most important tasks and projects should be more focused. There are some tips to remember in this stage of organizing.
a. Maintain your projects in the projects list
A project should have proper actions to have the desired outcome. All the actions require a proper examination and must be reviewed frequently. You must have a list of all projects to be completed in the near future. Every single action has to be recorded in your calendar or Next Action List.
b. Have a natural planning
Natural planning will systematically help you to reach the desired goal. This involves five steps which include the purpose, desired results, brainstorming, organizing, and the next action to be taken.
c. Keep a calendar and Next Action List
There are many people who have the habit of making a list to do daily. But this method is not much effective and is less focused as most of the time; we fail to do things on the day’s list. So the best way is to have a calendar and Next Action List. The calendar includes time-specific actions, day-specific actions and day-specific information. Other tasks should be included in your Next Action list
d. Maintain a Waiting For List
Sometimes in our daily tasks, we may require help from other people like enquiring something or getting help from a friend. So this list will have information about the help you require and its deadlines.
e. Maintain a Some Day /May Be List
This list is very important in the GTD method to maintain tasks and ideas that have for the future. This list helps to be focused on other important tasks which have to be completed at a particular moment.
- Reflect on your actions
This step requires you to reflect on tasks and see if your actions go in the right direction to achieve the desired results. Reviewing actions is important to relax your mind so that it helps you to take right decisions at the right time.
- Engage
This is the last step in the GTD process, where we actually get things done. This stage requires you to choose what is to be done at each moment to get the desired results.
We can say that GTD is a highly effective method to follow. If systematically followed, this process will help us to solve any complex problem and to reach the desired outcomes in a more relaxed way.
